Terms and Conditions
These Terms explain what Crowdtrip is, how you can use it, and what responsibilities apply when you use the platform.
1. Introduction
Welcome to Crowdtrip (“we”, “us”, “our”). These Terms and Conditions govern your use of the Crowdtrip platform, including our website, the web app, and the Crowdtrip app for iPhone and Android (together, the “Service”).
Crowdtrip is operated by Dotvelocity Ltd, a company registered in England and Wales (Company No. 09443474).
By accessing or using Crowdtrip, you agree to be bound by these Terms. If you do not agree, you must not use the Service.
2. About Crowdtrip
Crowdtrip is a travel planning and coordination platform that allows users to create and manage trips, collaborate with others on travel plans, build itineraries and save places, keep track of shared expenses, and use AI-powered assistance (“Hector”) to support planning. Through our booking partner, Crowdtrip also lets you book places to stay (section 9). Crowdtrip does not itself provide accommodation, transport, or activities.
Crowdtrip is new, and every feature is currently free to use. We may change features, add paid plans, or retire features as the product develops (section 14).
3. Eligibility
To use Crowdtrip you must:
- Be at least 13 years old, or the minimum legal age in your jurisdiction
- Be at least 18 years old to book a stay
- Have the legal capacity to enter into a binding agreement
- Provide accurate and complete information
4. Accounts
You are responsible for maintaining the confidentiality of your account, all activity under your account, and ensuring your login details are secure. You must notify us immediately of any unauthorised access. We reserve the right to suspend or terminate accounts that violate these Terms.
You can close your account at any time by emailing hello@crowdtrip.com from the address on your account. What happens to your data then is described in our Privacy Policy.
5. Use of the Service
You agree to use Crowdtrip only for lawful purposes. You must not:
- Use the platform for fraudulent or misleading activities
- Upload harmful, abusive, or illegal content, or content you do not have the right to share
- Interfere with the operation or security of the Service
- Attempt to access other users’ data without permission
- Share a trip’s join link with people the organiser has not agreed to invite
- Use automated tools to scrape, copy or overload the Service
6. Trip Content and Collaboration
6.1 Shared content
When you participate in a trip, content you add may be visible to other members of that trip. Messages in the trip chat, photos, shared documents, polls, expenses and plan items are shared with the group by design.
6.2 Private content
Personal notes, private documents, your availability answers and your conversations with Hector remain private to you, unless you choose to share them.
6.3 Roles
The person who creates a trip is its creator and can make others admins or organisers. Creators and admins can set the trip’s dates and joining policy, remove members, and cancel or delete the trip. Organisers can invite people and manage the plan. Members can add to the trip within the permissions the organisers set. Guests can view and take part but cannot add shared expenses.
6.4 Your licence to us
You retain ownership of content you create. So that Crowdtrip can work, you grant us a worldwide, non-exclusive, royalty-free licence to host, store, copy, resize, analyse (including with AI, as described in our Privacy Policy), display and distribute your content to the people you share it with, for as long as it remains on the Service. This licence ends when you remove the content or close your account, except where others in a trip are still using it, as described in the Privacy Policy.
6.5 Responsibility and reporting
You are responsible for the content you add and for ensuring it is accurate and appropriate. Crowdtrip does not guarantee the accuracy of user-generated content. If you see content that breaks these Terms, email hello@crowdtrip.com and we will review it. We may remove content or members that break these Terms.
7. AI Assistance (Hector)
7.1 Nature of AI output
Hector provides suggestions, guidance, and generated content based on available data and user inputs. Uploaded photos and documents are analysed automatically to caption, tag and extract details from them.
7.2 Limitations
Hector does not act autonomously on your behalf. It makes changes to a trip only when a user asks, and anything sent to the group or hard to undo is shown to that user to confirm first. AI-generated content may be incomplete or inaccurate, including prices, opening hours, distances and travel times.
7.3 User responsibility
You are responsible for reviewing and verifying any AI-generated suggestions before acting on them, and for anything you ask Hector to do in a trip.
8. Expenses
Crowdtrip lets a group record who paid for what and works out who owes whom. These are records only. Crowdtrip does not move money between members, does not hold funds, and does not guarantee that anyone will settle what they owe. Any settlement is between the members concerned.
9. Booking a Stay
9.1 Our booking partner
Hotel search, prices and bookings on Crowdtrip are provided by Nuitée (operating LiteAPI). When you choose a stay, you are taken to a checkout run by Nuitée, where you enter your details and pay. The booking contract is between you, Nuitée and the hotel, and is governed by Nuitée’s terms and the hotel’s conditions, which are shown at checkout. Crowdtrip is not a party to that contract, is not the merchant of record, and does not handle your payment.
9.2 Prices and availability
Prices shown in Crowdtrip come from Nuitée at the time of search and can change before you reach checkout. Some fees, such as resort fees or city taxes, may be payable at the hotel and are shown where the hotel reports them. The price at checkout is the price you pay. We show prices in your home currency where we can; the currency charged is set at checkout.
9.3 Cancellations, changes and refunds
Each rate has its own cancellation terms, which are shown before you book and in your confirmation. Cancellations, changes and refunds are handled by Nuitée under those terms, using the confirmation email and links it sends you. Crowdtrip shows you the cancellation deadline and will tell you if a booking is cancelled, but cannot cancel or refund a booking itself.
9.4 Booking for a group
If you book rooms for other members of your trip, you are responsible for the booking and for the details you enter about your fellow guests. Crowdtrip will show the group that the stay is booked and who it covers, but the price and booking reference are shown only to you.
9.5 Commission
Crowdtrip may receive a commission from Nuitée on bookings made through the Service. This does not affect the price you pay.
10. Third-Party Services and Links
Crowdtrip shows information from third parties, such as Google Maps and Places, weather and exchange-rate services, and web pages you save to a trip. Where Crowdtrip links to a third-party service, any booking or purchase you make there is between you and that provider, under its terms. We are not responsible for availability, pricing, quality, or disputes arising from those services. If we add affiliate links in future, we will say so and may earn a commission that does not affect the price you pay.
11. Notifications and Emails
We send emails and, if you allow them, push notifications about activity in your trips, such as invitations, polls and things waiting on you. You can turn push notifications off in the app or your phone’s settings, and optional emails off in your account settings. Some emails, such as a password reset or a change to your account, are part of running the Service and cannot be turned off.
12. Intellectual Property
All content and materials provided by Crowdtrip, including design, branding, software, and AI-generated system outputs, are owned by or licensed to Crowdtrip. You may not copy, distribute, or modify the platform without permission, or reverse engineer or attempt to extract source code. Maps, place details and hotel content are provided by their respective owners under their own terms. You retain ownership of content you create.
13. Data and Privacy
Your use of Crowdtrip is also governed by our Privacy Policy, which explains what we collect, who we share it with (including our booking partner and AI providers), and how we protect it. By using the Service, you agree to how we collect and use your data as described there.
14. Availability and Changes
We may modify or update the Service at any time, add or remove features, introduce paid plans, or temporarily suspend access for maintenance. We do not guarantee uninterrupted availability. If we retire a feature that holds your content, we will give you reasonable notice and a way to get that content out.
15. Termination
We may suspend or terminate your access if you violate these Terms, misuse the platform, or if we are required to do so by law. You may stop using the Service, or ask us to close your account, at any time. Bookings you have already made with Nuitée are unaffected by closing your Crowdtrip account.
16. Disclaimers
The Service is provided “as is” and “as available”. We do not guarantee the accuracy of content or recommendations, the suitability of travel plans, or the availability of third-party services or hotels. Crowdtrip is a planning tool and does not replace professional advice. Nothing in these Terms limits your statutory rights as a consumer.
17. Limitation of Liability
To the fullest extent permitted by law, Crowdtrip shall not be liable for indirect, incidental, or consequential damages; loss of data, profits, or opportunities; or issues arising from third-party services, hotels or bookings. Our total liability is limited to the amount you have paid us, if any, in the past 12 months. Nothing in these Terms excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be excluded by law.
18. Indemnity
You agree to indemnify and hold Crowdtrip harmless from any claims arising from your use of the Service, your content or actions, or your violation of these Terms.
19. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales. If you live in the EU, you may also be entitled to bring a claim in your own country.
20. Changes to These Terms
We may update these Terms from time to time. When we do, we update the date at the top. If changes are significant, we will notify signed-in users. Continued use of the Service constitutes acceptance of the updated Terms.
