Getting started
What is Crowdtrip?
A place to plan a trip with other people. Everyone brings their dates, their budget and what they want from the trip. It comes together in one place the whole group can see, and Hector, the trip’s helper, does the legwork.
It replaces the group chat as the place the trip lives. The chat can stay for the chat.
Who is it for?
Groups: friends, families, the stag do, the reunion. And the person who usually ends up organising, who gets to stop chasing.
It works for a trip of two as well as twelve.
Is it free?
Yes. Everything is included while Crowdtrip is in beta: every trip gets every feature, no tiers, no card, no catch.
Do I need an invite to sign up?
No. Anyone can create an account. If someone has sent you a link to their trip, you can create your account from that link and land straight in the trip.
Planning together
How does a trip start?
With a name, a place and roughly when. That is enough for the trip to exist and to have a link you can send. Everything else is decided together, afterwards.
How do people join?
With the link. Anyone who has it can ask to join. The organiser chooses whether joining needs their approval or is open to everyone with the link. Someone invited by email is approved automatically.
Who decides?
The group. Everyone answers once: when they can go, what they can spend and what they want from the trip. The days that suit everyone show themselves. When something needs settling, it becomes a poll and everyone answers in one tap. Starting the trip does not make you the person who decides everything in it.
What if someone doesn’t answer?
The trip shows who has answered and who it is still waiting on, so the reminder comes from the trip rather than from a person. Dates can be settled on the people who have answered so far.
Can a trip have more than one destination?
Yes. Add every place you are considering and mark one as the main one. Everyone’s saved ideas land on one map across all of them.
What if plans change?
Change them. Anyone on the trip can add to the plan and change it, and what is decided goes into the plan rather than into the chat. Ask Hector “what did I miss?” to catch up on what changed while you were away.
Hector
What does Hector do?
He is the trip’s helper. Ask him for the tickets, somewhere for lunch, a quick poll, a change to Saturday’s plan, or to split a cost. He reads the trip, including any booking confirmations you have forwarded, and answers from what is actually in it.
Does Hector change things on his own?
Only when someone asks him to. Anything that goes out to the group, or is hard to undo, comes back as a card to confirm first: a poll, an announcement, an invite, new dates, an expense split, a deletion. Smaller changes you ask for, like saving a place, adding an item to the plan or ticking off packing, happen straight away, and he tells you in the chat what he changed.
Does Hector post in the group chat?
Only when someone @mentions him there. Otherwise he answers you in your own chat with him, and the group chat stays the group’s.
Does Hector use AI? What does it see?
Yes. Hector uses AI to read what is in the trip and draft replies and cards from it. It works from your trip’s own details, the places, dates, bookings and messages in it, and nothing you put in a trip is sold or used to advertise to you.
Bookings and money
Can I book through Crowdtrip?
Not directly. You book with the airline, hotel or tour company as you normally would, and for a stay Crowdtrip can open the search on Booking.com with your dates filled in. Then forward the confirmation email to the trip’s own address, or drop in the PDF, and Hector reads it into the plan and the money.
How does splitting costs work?
Say it in a sentence: “I paid 90 for the boat.” Hector drafts the split for you to confirm. Who owes whom is always visible, and you settle up between yourselves at the end.
Privacy
Who can see my trip?
The people on it. A new trip is private to its members and you decide who joins. You can make a trip public from its settings if you want to; nothing is public unless you choose that.
What happens to my data?
It is used to run your trips and nothing else. It is never sold. See the privacy policy for the detail.
